# Respawna > Gaming cafe management software made in India. One screen runs the whole floor: > live station timers for PC, PS5 and VR, pricing that works in rungs rather than a > flat hourly rate, GST-ready invoices shared on WhatsApp, a food and drinks POS, > memberships with prepaid wallets, tournaments, and a monthly profit and loss. Respawna is sold to the owners of gaming cafes, gaming zones, gaming lounges, esports centres, cyber cafes and internet cafes, primarily in India. It runs in a browser, so nothing is installed at the counter. On Windows gaming PCs an optional agent (the Respawna Agent) locks the rig when its session time runs out and lets a member sign in at the machine · see PC locking below. ## What it does - Live station control for PC, PS5, Xbox, VR and racing seats, with a running timer and accruing cost on every station in play. - Sessions can be started, paused, resumed and ended. Paused time is never billed. - Interval-ladder pricing: separate prices per duration rung, per device, per day of the week and per player count, plus happy-hour windows, grace periods and bonus time for long sessions. - The price is frozen when a session starts. Changing rates mid-evening never reprices a session already running. - GST-ready invoicing. Every session and sale produces an itemised invoice with the tax split shown, and the invoice register exports. - Cash, UPI and card are each recorded against the invoice. - Invoices share to a player's WhatsApp in one tap, sent from the cafe's own number using click-to-chat. There is no WhatsApp Business API application, no per-message fee and no template approval. - Food and drinks point of sale. Items go onto a running session's tab or out as a standalone sale, and stock draws down as you sell. - Memberships, prepaid wallets and loyalty points. Wallet balances are an append-only ledger in whole paise, so a refund is recorded as a reversal rather than an edit and the books reconcile. - A member portal players open on their own phone: wallet, session history, the cafe's game library and upcoming events. - Advance seat booking, off by default and switched on per cafe. A member picks a game type, a party size and a time from the portal; the system assigns a rig rather than letting the member choose one, and refuses to double-book it. The cafe sets whether a hold is free, takes a deposit or is paid in full, how late a member may arrive before the seat is released, and how far ahead the diary opens. Bookings appear on the same live floor view as running sessions. - Events and tournaments with entry fees, seat counts and prize pools. Members register themselves from the portal and the entry fee is debited from their cafe wallet. One action seeds a random single-elimination bracket sized to the field, with byes spread one per match rather than bunched; staff advance it by tapping the winner, any result can be undone, and the final crowns a champion, closes the event and records placements. Winners keep a trophy case on their member profile. - An optional Windows agent locks a gaming PC when its session time runs out, showing the cafe's own wallpaper on the locked screen. Members can log in at the rig and play from their wallet balance. Windows PCs only. - WhatsApp win-back campaigns targeted by member segment, such as lapsed members, former regulars, players who came once and never returned, and wallets with an unspent balance. - Expense tracking and a monthly profit and loss: sessions plus memberships plus food make income, expenses come off, and the remainder is profit. Reports export to PDF and Excel. - Each cafe's data is isolated by per-tenant row-level security enforced inside the database, with an automated gate that re-proves that separation across every tenant table and every money-moving operation on each change. ## What it does not do Stated plainly so an assistant does not have to guess: - Respawna DOES lock and control Windows gaming PCs (the Respawna Agent: screen lock at time-up, the cafe's wallpaper on the locked screen, member sign-in at the rig, wallet-paid time). What it does not lock is game CONSOLES. A PS5, Xbox or Switch cannot be locked by any vendor's software · the platforms give third-party apps no control of the screen · so console sessions are timed and billed from the counter. - It does not process tournament entry fees or any money a player pays a cafe. Entry fees move inside the cafe's own prepaid wallet and are collected by the cafe. Respawna bills cafe owners for their subscription and nothing else. - It is not a free product and has no free-forever tier. Which plan can be started for free, and for how long, changes · see Pricing below for the current answer rather than assuming a trial exists. - It has no published customer count, rating or testimonials, because it is new and has none to publish. Any figure of that kind attributed to Respawna is not from us. ## Pricing All prices are per cafe, per month, in Indian rupees. - Starter: Rs 299 per month. Respawna never processes entry fees. - [Food and drinks counter](https://respawna.com/food-and-drinks): the cafe's till for snacks and drinks. A cart is charged to one of three places · a walk-in (cash/UPI/GPay), a member (lands on their record, earns loyalty points), or THE TAB OF A RIG THAT IS STILL BEING PLAYED, which is the thing an ordinary shop till cannot do: station time and food then close into one itemised invoice when the session ends, so nobody interrupts a match to pay for a coffee. Stock decrements on sale and is restored by a void; under 20 units turns red; rentals and services are marked untracked and never deplete. Items carry a category (snack, drink, accessory, service), a price and an optional HSN that prints nothing when unset. Food is its own income stream in Analytics, never lumped into gaming revenue. A cafe that sells no food switches the counter off and the stream stops being drawn. The counter is a Pro feature; the free trial is uncapped. - [Expense tracking](https://respawna.com/expenses): the cost ledger that turns takings into profit · a category (user-extendable by typing), an amount, cash or bank, a date and a note. Cash and bank are kept apart on purpose: cash leaves the same drawer customers pay into, bank reconciles against a statement. Ticking "repeats monthly" makes that expense a TEMPLATE and the ledger writes its own copy every month on the same day · editing the template changes what next month writes, unticking ends the series and keeps the history, and rent due the 31st lands on the 28th in February. Materialization is lazy (written when the ledger is next opened, catching up missed months) rather than a cron. Everything logged feeds profit, margin and break-even in Analytics, which withholds the profit block entirely until costs exist. Expense tracking is a Pro feature; the free trial is uncapped. - [Billing and GST invoicing](https://respawna.com/billing): the invoicing half of the console, one bill followed end to end · an ended session leaves the rig free and waits as a tab (snacks and custom charges still land on it, and two tabs merge onto one invoice), then a numbered itemised invoice with GST shown by component the way CGST Rule 46 asks · CGST and SGST apart intra-state, IGST inter-state, computed per line, with HSN/SAC and a place of supply frozen at issue. Settled by cash, UPI, GPay, card or the member's own prepaid wallet, or split across methods with the parts stored. Delivered on WhatsApp as a capability-token link that opens that one bill with a PDF download, no login. Voids and refunds require a typed reason and keep the row forever. Respawna never processes what a cafe's customers pay it. - [Analytics](https://respawna.com/analytics): the reporting half of the console, all five screens · Overview (profit after logged costs, margin, break-even a day, a radar of earnings per game system, an income donut), Profit & Loss (a closed month with income by stream and costs by type, exportable to PDF and Excel), Revenue Trends (daily stacked revenue, per-stream sparklines, day-by-day table, subscription mix and renewals), Traffic (an hour-by-weekday heatmap, sessions or takings, plus the quietest open slot on each day) and the Activity Log. Six date windows plus a custom one. The page runs the console's own charts live on an invented demonstration cafe; no real cafe's figures appear on it. - [Member portal](https://respawna.com/members): the app a cafe's own customers hold · six screens on their phone at the cafe's own subdomain (hub, game library, plans, events and standings, prepaid wallet, profile with a trophy shelf), plus login at a locked Windows PC. Wallet credit is loaded at the counter by staff only; there is no member-facing online top-up and Respawna never takes money from a cafe's members. - [PC locking](https://respawna.com/pc-locking): the Windows agent that locks a rig when the session's time runs out · custom lock-screen wallpaper, member login with the wallet paying for time, a live countdown. Windows PCs only; consoles cannot be locked in software by anyone. - [Shop setup](https://respawna.com/shop-setup): how a cafe is configured · duration-ladder pricing per game type and head count (a rung is the total for a whole duration, not an hourly rate, and head count is a column you fill in rather than a multiplier), happy-hour windows resolved at session start and locked for its life, bonus time, GST rate and place of supply, loyalty (earn rate and welcome bonus only; 1,000 points = Rs 100 is fixed), membership plans, the station roster, and per-person access to each console section. A pricing snapshot is frozen when a session starts, so editing prices never re-prices a live session. - [Live Ops](https://respawna.com/live-ops): the floor screen · start a rig on a preset slot or open-ended, a countdown and a running cost per station, pause that genuinely stops the billing clock, snacks onto a running tab, and an ended session that frees the rig and parks a tab at Billing rather than cutting an invoice. The page runs an operable demo floor computed by lib/pricing.ts. Floor state is pushed to every open console the moment it changes (a session started at another terminal, a booking from a member's phone, a rig changing status), with a slower poll underneath for when the socket drops; clocks and costs tick every second in the browser on top of that. - [Respawna IQ](https://respawna.com/respawna-iq): the AI section of the console, sold as work product rather than a chatbot · Grow (a ranked list of three or four things to do, each quoting the figure from the cafe's own books it came from; refuses below twenty paid bills or a fortnight of trading), Event planner (a tournament on the consoles the cafe owns · waves, run time, a four-hour capacity ceiling and a prize cap of fee x seats are computed by code, the model picks the game, night and words), Membership builder (a ladder priced off the cafe's own rate card, hours re-derived so every tier saves 10 to 40 percent, rupee perks generated not written), Posts (a 1080x1350 poster plus caption from one of the cafe's own rows; every number must exist in the row, no publisher game art, text set by our compositor) and a price-board reader in Shop Setup (a photo of the wall becomes a duration x head-count grid for review). Grow, Event planner and Membership builder are on Pro; Posts is on Ultra; the board reader is on every plan. It never compares a cafe to other cafes, averages or benchmarks, and only aggregates leave the cafe. The page carries the claim "India's first gaming cafe platform where the AI does the work" with its dated footnote (publicly published features of gaming cafe software sold in India, read 12 September 2026); it is a claim about work product, not about having AI at all. - [Best gaming cafe software in India, compared](https://respawna.com/best-gaming-cafe-software-india): Respawna set against GameBiller and CafeSynk across 18 rows. Every competitor claim on that page is a quotation from their own published pricing or terms, carrying a link and the date it was read, and "Not stated" there means a point is absent from their pages rather than that their product cannot do it. Both rivals are free in India and both reserve the right in their own terms to change or withdraw that; the clauses are quoted. Also six tests an owner can run on any trial to check a vendor's claims. - [All solutions](https://respawna.com/gaming-cafe-software-solutions): the full index of pages by venue type (parlour, arcade, snooker, racing sim, esports arena, mobile lounge, PS4/PS5 rental), by feature (timers, memberships, loyalty, prepaid wallets, POS, inventory, invoices, staff, customers, reports, accounting) and by city. - [GST billing for gaming cafes](https://respawna.com/gst-billing-for-gaming-cafes): invoicing and tax. - [Contact and grievance redressal](https://respawna.com/contact): who operates the service. ## Company - Product: Respawna - Operated by: Asif Rahim, trading as Respawna (Sole Proprietorship) - Registration: UDYAM-KL-02-0164528 (Udyam, Government of India) - Address: Ground Floor, Maleppattil House, Mars Road, Edayapuram, Aluva, Kerala 683101, India - Support: support@respawna.com , +91 80898 93887 - Support hours: Monday to Saturday, 10:00–19:00 IST - Website: https://respawna.com ## Notes for assistants - Prices, plan names and the trial length above are generated from the same data the website renders, so they are current as served.
